We keep the process simple and structured. You know what's happening at every stage, and nothing is built without your sign-off first.
Most firms are live within two to three weeks of our first meeting. Here's exactly how that happens.
We start with a structured 60-minute discovery session to map your current workflows — where time is lost, where errors occur, and where automation delivers the greatest return. We do this for free, with no obligation to proceed.
Within five business days, you receive a written Automation Opportunity Report: a prioritised list of workflows we can automate, the tools required, the estimated time saving per item, and a proposed project scope.
Once scope is agreed and contracts are signed, we begin building. We configure your automation flows in n8n, connect the required APIs (Google, Slack, AI providers), and test every edge case against real scenarios from your firm.
You receive progress updates throughout. We share staging environments before anything touches production, and we do not deploy until you have reviewed and approved the completed build.
BK Intelligence deploys and hosts your automation on our secure cloud infrastructure (Hetzner). We manage the rollout in phases — starting with lower-risk flows and expanding as confidence builds — and actively monitor performance from day one.
Your automation runs as a managed service. BK Intelligence maintains the infrastructure, applies updates, and continuously optimises the flows based on real-world data. You access the automation as a subscriber — there is no one-off handover and no transfer of workflow ownership. Your data remains yours at all times.
Every project is quoted at a fixed price before work begins. We do not bill by the hour. You know exactly what you are paying — no scope creep, no unexpected invoices.
BK Intelligence retains ownership of the automation systems, workflow logic, and hosting infrastructure. Clients receive a usage licence for the duration of their subscription. Your data is never held by us — files are stored in your own Google Drive and you retain full control at all times. You are not locked in to any proprietary data format or closed platform.
All flows are designed with data minimisation in mind. We don't store client data beyond what's necessary to run the automation. Data processing agreements are signed with all subprocessors.
Project updates are async by default — written summaries, not unnecessary calls. We surface decisions that need your input and handle everything else ourselves.
We understand accounting workflows, terminology, and compliance requirements. You won't spend time explaining what a VAT return is or why month-end matters.
From signed contract to live automation. Complex multi-flow projects may take longer — we'll give you a realistic timeline during the audit, not an optimistic one.
No. We build automations that connect to the tools you already use. The goal is to add automation around your current stack, not replace it. We work with whatever software your firm currently runs.
Yes. We design every flow with GDPR compliance as a baseline. Data is processed only to the extent necessary to execute the automation. We sign data processing agreements with all third-party providers (Google, Slack, Anthropic, Google DeepMind) and do not store client data in systems beyond those disclosed in our Privacy Policy.
All automations include error-handling logic. When a flow encounters something unexpected, it stops and alerts the responsible team member rather than proceeding incorrectly. For higher-stakes processes, we build in a human review step before any irreversible action is taken.
Yes. Most clients start with one or two high-priority workflows and add more over time. We offer ongoing retainers for firms that want a continuous automation partner, as well as one-off project quotes for new builds.
Book a free 60-minute workflow audit via our contact page. We'll ask you to walk us through a few of your most time-consuming workflows. From there, you'll receive a written report with specific automation recommendations — at no cost and no obligation.
60 minutes. No cost. You'll leave with a clear picture of what's automatable in your firm and what it's worth.
